How to Find a Trucking Carrier's Insurance Renewal Date (X-Date)

In commercial insurance sales, the X-date — the expiration date of a carrier's current policy — is everything. A motor carrier 10 months from renewal has no reason to talk. The same carrier 60 days out is actively shopping, comparing quotes, and open to a new producer. Timing the X-date is the difference between a cold call and a warm one.

The catch: X-dates aren't published anywhere as a list. But for trucking, you can get remarkably close using public federal data. Here's how.

Start with FMCSA insurance filings

For-hire motor carriers operating in interstate commerce must file proof of liability insurance (called BIPD — bodily injury and property damage) with the FMCSA. These filings are public record. Each filing shows the insurance company, the coverage amount, and the effective date of the policy.

You can look up an individual carrier's filings through FMCSA's Licensing & Insurance records, and FMCSA also publishes the full national active/pending insurance table as an open dataset on data.transportation.gov.

Turn the effective date into an estimated X-date

Filings show when coverage started, not when it ends. But commercial auto policies almost always run 12-month terms, so the anniversary of the effective date is a strong estimate of the renewal date. A carrier whose BIPD filing shows an effective date of September 1, 2024 is very likely renewing around September 1 every year.

Treat it as an estimate, not a fact. Mid-term rewrites, carrier switches, and short-term policies happen. The anniversary method gets you into the right 30–60 day window — then you verify on the call. That's exactly how experienced producers use it.

Watch for pending cancellations — the hottest signal

FMCSA filings also record cancellations before they take effect. A carrier whose insurer has filed a pending cancellation is either non-renewing, being dropped, or switching — and every one of those means they need coverage now. For an insurance producer, a pending-cancellation list is the warmest lead source in trucking.

What the filings won't tell you

Putting it to work

  1. Build your target list of for-hire carriers in your territory.
  2. Pull each carrier's BIPD filing: current insurer, coverage amount, effective date.
  3. Estimate the X-date from the effective-date anniversary; queue outreach 60–90 days ahead.
  4. Prioritize anything with a pending cancellation on file — call those first.
